Firm Administrator

Mid-sized attorney trial law firm in Portland, Oregon is looking for a Firm Administrator. This person will have a strong base of knowledge and experience in the areas of finance, HR, operations, and IT and will be responsible for:

  • Overseeing the day-to-day operations HR & Staffing – recruiting, hiring, supervision, evaluations of all staff members except attorneys.
  • Benefits Administration & Payroll – insurance renewals, working with brokers, 401k administration, etc.
  • Office Administration – maintain and update policies and procedures and ensure compliance, records management, facilities and reception issues, etc.
  • Oversee Accounting & Billing function – ensure all accounting and reporting functions are being done accurately, timely, & per policy. Review financials and provide recommendations to partners.

The ideal candidate will be a detail-oriented team player with 5+ years of law firm administration/office manager level experience. Prefer candidates with a very strong HR background. Candidates must be able to demonstrate strong communication and problem solving skills. Candidates must also have a bachelor’s degree or demonstrated experience working in the legal industry. Receptionist/Secretary

General Summary: Answer all incoming lines, direct callers, and take messages using a multi-line telephone console, greet clients, vendors and visitors, open and close the reception area, assist with telephone related problems, schedule conference rooms, order and set up food/beverages for meetings, operate video-conferencing equipment, type correspondence, memos, forms and other documents. Assist Administrator, secretarial and paralegal staff with administrative duties.

Requirements: At least two years experience in a law firm, legal department or other professional environment, knowledge of and proficiency on multi-phone telephone console and voicemail systems, strong verbal communication skills, ability to compose, type and edit routine office correspondence, memos and forms, proficiency with Microsoft Word, ability to proofread material for grammatical, typographical and spelling errors, ability to organize and prioritize numerous tasks, have the ability to interact well with all levels of staff and attorneys, must be punctual and be a team player.
